Recruitment: Service Administrator

The Service Administrator is an integral part of the Service & Maintenance team and assists the Service Manager with all aspects of Service & Maintenance administration.  

This includes answering external enquiries by phone or by email, scheduling Engineers rota’s, and booking in maintenances. 

Main duties and responsibilities

  • Booking maintenances, including Security, Fire Alarms System as well as Portable Extinguishers. 
  • Closing down maintenance jobs and adding further actions to Microsoft Planner ready for quoting. 
  • Answering phones and providing cover between office hours. 
  • Scheduling Engineers on a job by job basis when required.
  • Obtaining clients purchase orders for Engineer attendances.  
  • Assist with information & service desk inbox – emails to/from service desk. 
  • Setting up contracts on the internal customer database platform (CASH). 
  • Updating client portals. 

Additional Duties

  • Assist Service Manager with order delivery database administration including raising purchase orders (DCM).  
  • Any other task or duties reasonably requested by the Service Manager. 

Experience required 

  • Excellent customer service skills 
  • Relevant administrative experience in a similar role (Fire & Security experience desirable) 
  • Good organisational & communication skills and attention to detail 
  • Proficient in Microsoft Office Suite including Word, Excel, Teams etc.. 
  • Team player
